Common IT problems in construction companies

What we come across in civil engineering, earthworks and building companies in French-speaking Switzerland, in the office and in the field, and what we do about it.

01 Job-site phones that nobody manages

What we find

Site managers and foremen work on phones and tablets bought as needs arose: emails, site photos, plans, client contacts. One device left in a machine or stolen from a van, and all of it is out in the open. Every newcomer, seasonal or temporary, waits for their access.

What we do

A mobile fleet managed remotely: the same configuration on every device, updates, remote locking and wiping if lost. A device ready on day one, access cut off on the day someone leaves.

02 On site, the crew works from the wrong version of the plan

What we find

The technical office emails the plans, someone prints them, a new version arrives in the meantime. On site, nobody knows which one is right, and the mistake shows up once the concrete is poured.

What we do

A shared document space, organised by job site, available on the phone or tablet, with permissions per crew. The office uploads the latest version, the site has it in front of them.

03 Reports, hours and daywork slips retyped at the office

What we find

Daily reports and timesheets are filled in on paper in the site hut, brought back at the end of the week, then copied out at the office for payroll and invoicing. Hours lost, copying errors and daywork invoiced late.

What we do

AlpenFlow replaces the retyping: a simple form on the phone on site, or automatic reading of photographed sheets, and the data arrives consolidated in your file or software. Fixed fee per project from CHF 2,500, agreed before we start.

04 A tender due, and the server gives out

What we find

Quotes, quantity take-offs and tender files live on a server or NAS that nobody has ever tested. A breakdown or ransomware the day before a tender deadline, and that bid never goes out.

What we do

Automatic backups, an off-site copy in Switzerland and a restore test documented in your monthly report. Critical incidents are handled within 4 business hours.

05 Several sites, and nobody has the full picture

What we find

Head office, branch, depot, workshop, quarry: each site has its own connection, printer and access set up piecemeal. When the link goes down at the depot, nobody knows who to call.

What we do

A network documented site by site, secure access between sites, monitoring of links and equipment. A single point of contact for all of it, who knows what is installed where.

06 The fake change of a supplier’s IBAN

What we find

Material suppliers, subcontractors, machine rentals: many invoices, large amounts. One hacked email announcing “new bank details” is enough for a payment to go to the wrong place.

What we do

Two-factor authentication on every mailbox, email filtering, a simple procedure to verify changes of bank details, and awareness training for the office on the fraud actually circulating.

02 From office to job site

One network for the office, depots and job sites

The office uploads the latest plans, the site team opens them on a phone or tablet, and reports come back to the office without retyping.

Workstations, field devices and links between sites are monitored from a single point.

05 FAQ Construction

Frequently asked questions from construction companies

Can’t find your answer?

Ask us your question
01 Do you also manage the phones and tablets of the site crews?

Yes, that is often where the biggest risks are. Devices are configured the same way, updated remotely, and can be locked or wiped if lost or stolen. A new device is prepared without the site manager spending half a day at the office.

02 Do you come to our sites?

Yes. Most support is done remotely, which is the fastest for your crews. For hardware, a depot network or setting up a new site, we travel within French-speaking Switzerland, from Chavannes-près-Renens.

03 When do you carry out major changes?

During the quiet periods of your calendar: the construction holidays, the winter slowdown or outside working hours. In peak season, we only touch what needs touching, and we let you know beforehand.

04 Do you work with our quoting, payroll and accounting software?

We manage the environment around your business software: workstations, server, backups, access and updates. For questions about the software itself, we coordinate directly with the vendor, so you do not have to act as the go-between.

05 Our field crews are not comfortable with IT. Is that a problem?

No, that is the case in most construction companies. We set devices up ready to use, keep the steps to the strict minimum, and your crews have a number to call when something gets stuck.
